Moving

Its an exciting time. Different space, decorating, a nicer office, a better phone system, change, change, change.

Over the past 25 years we have acted as project managers for many of our client firms that decided to move offices. We attend when they are getting close to a final space selection in order to early on catch possible hidden expenses. We work with the floor space planners to help optimize the design for technology, printers, photocopiers, servers, server rooms including required cooling, file storage, scanning facilities, phone systems, wiring both electrical and data/phones. We oversee the installation of cabling and equipment. We participate in moving the technology that needs special treatment. We organize the internet and phone service moves.

Our expertise is not limited to the physical space. We have been called upon to orchestrate the changes to the firm address in letterheads, invoicing systems, email addresses and web sites. We prepare and execute a mass emailing and paper mailing to the clients, legal industry and vendors. We prepare announcements for the web sites and the phone system announcements.

In short our checklists are so extensive nothing gets missed or is left undone.

Firm Changes

Forming a new firm involves all of the elements of a new office move but adds many many other tasks. We are uniquely qualified to assist our clients in all areas of the endeavour.

The collection of matter data both documentary (paper and electronic) as well as accounting data must be collected and processed into a new system. Practice management information like calendars and contacts must be loaded into the new firm’s systems. Everyone in the firm must be instructed on the firm’s new procedures which we help develop.

We assist in the production of the Notice of Change of Lawyer documentation and the client’s letters of direction, producing them and tracking their signed receipt back to the firm.
Without a trusted advisor like our team of experienced professionals tasks which might be overlooked or lost in the shuffle will be done.

Selection of phone, fax, printers, copiers, cost control, accounting software, servers, desktops and laptops, smart phones, presentation resources, boardroom equipment, reception resources, music systems, security systems…the list is near endless but all of it must be considered, decided upon and implemented at a new firm.

We have done it all many times and can offer a steady sure hand on the process.
